Norzaimah Hassan
Clinic owner · Kota Kinabalu
The Appointment Desk has been running since February and I'd say it handles maybe 70% of our booking messages without needing my receptionist to step in. What I appreciated was that they configured it around our actual schedule — we close early before Hari Raya and have some irregular hours, and all of that was set up correctly from the start. The first two weeks had a few edge cases we hadn't thought of, but they adjusted quickly.

We reply to customers in Mandarin, English and BM throughout the day, sometimes in the same conversation. The multilingual drafting has cut the time my staff spend on replies significantly. The tone review after three weeks was useful — there were a few phrases that didn't sound quite right for our usual style and those got fixed. I'd say it took about a month before the drafts felt natural enough that we rarely changed them.

We used the quarterly check-in to review a chatbot that was already in place when Razif came in. The first visit was an eye-opener — there were rules in the system that referred to old pricing and a course that had been discontinued. We'd been running with outdated information for months without realising. The written summary after was clear and practical. We've now scheduled the next three visits in advance.

Salon owner · Penampang
Before the Appointment Desk was set up, I was spending about an hour each evening going through booking messages. Now that's down to maybe ten minutes of checking. The tool doesn't take appointments for requests that seem complicated — anything involving rescheduling multiple people, for example, gets flagged to me. That boundary is what made me comfortable with it.

Food business · Kota Kinabalu
We tried the multilingual drafting for three months. It handled English and Mandarin well, but the BM drafts needed more editing than expected — some phrasing was a bit formal for how we usually write. We mentioned this and they updated the glossary, which helped. I'd say it's at about 80% of where I'd want it to be. Still using it and it does save time, but wanted to give an honest picture.

Rohana Daud
Workshop owner · Kota Belud
Small workshop, mostly phone and WhatsApp bookings. The Appointment Desk was the right size for us — nothing complicated, just taking the repetitive confirmation messages off our hands. Setup was fast. Preethi did the walkthrough with our front-desk staff and answered their questions clearly. Three months in with no issues.

Case Study · Appointment Desk
A four-chair dental clinic in KK managing appointment messages across two staff phones
Challenge
Appointment messages were split between the clinic owner's phone and a receptionist's number, creating coordination problems. Patients would confirm with one person and the other wouldn't know. Missed bookings and double-bookings were happening weekly.
Setup
We centralised the booking process through a single number, connected to the clinic's existing Google Calendar. The assistant handled slot availability in BM and English. The dentist was notified for any cancellation requests — those weren't handled automatically.
After six months
Double-bookings dropped to zero. The receptionist estimated about 45 minutes per day freed from message coordination. One quarterly check-in updated the holiday schedule and added a new service type that had been introduced after setup.
Case Study · Multilingual Reply Drafting
A wholesale supplier in Tawau handling customer enquiries in three languages daily
Challenge
The business owner was personally handling all customer messages because staff found the code-switching between BM and Mandarin difficult to manage consistently. This was taking two to three hours per day.
Setup
We built the tone profile from six months of the owner's sent messages and created a glossary for product names, unit sizes and pricing terms in each language. Staff read and send each draft — the owner no longer needs to be involved in routine enquiries.
After four months
Owner's daily message time dropped from about 2.5 hours to under 30 minutes of review. Staff handle the queue independently. The quarterly review updated the glossary after a product line rebrand and adjusted phrasing for a new discount structure.
